Who this policy is for
Communovo member directory apps are private membership directories for the organisation that publishes them. They are not public applications: they can only be used by members of the organisation that publishes them who have been given an account by that organisation’s office. Each organisation is the owner of the information in its own directory and decides how that information is used.
What information the app holds
The directory itself is supplied by the organisation that publishes them from their own membership records. Depending on what each organisation records, it may include a member's name, photograph, telephone numbers, email address, home address, date of birth, wedding anniversary, blood group, occupation, family membership and the groups they belong to.
Members do not enter this information themselves. It comes from the organisation's own register, and corrections are made by that organisation’s office.
What the app collects from your device
- Photographs you choose. If you set your own picture, the app asks for access to your camera or photo library at that moment. It reads only the image you select. Photographs are re-encoded on our server and location information stored inside the image file is removed.
- Basic device details. The make and model of your phone, its operating system version, and the version of the app. These are used to answer support questions and to know when a release has reached members.
- Sign-in activity. The time you last used the app, so that organisation’s office can see whether members are able to use it.
The app does not collect your location, does not read your contacts, messages, call logs or files, and contains no advertising, analytics or tracking software of any kind.
How the information is used
Only to provide the directory to members of the organisation that publishes them: to let you look up another member, to show notices and events, and to let that organisation’s office maintain its own records. The information is never sold, never used for advertising, and never shared with any other organisation for its own purposes.
Who can see it
Only signed-in members of the organisation that publishes them, and the office staff who maintain the records. Each organisation's information is kept separate; a member of one cannot see another organisation's directory.
Information is stored on servers operated on the organisation's behalf, and photographs and documents are held in Amazon Web Services storage in India. Data is transmitted over an encrypted connection and passwords are stored only as an irreversible hash.
How long it is kept
For as long as you are on the organisation's roll. A member who leaves is marked as such and is removed from the directory members can browse. the organisation that publishes them each decide when a record is deleted entirely.
Your choices
- You may decline the camera and photo permissions; everything else works.
- You may ask that organisation’s office to correct anything about you, to hide a detail from the directory, or to remove your record and your account.
- You may sign out at any time from the app's More menu.
To make any of these requests, or to ask what is held about you, write to hello@communovo.com.
Children
Children appear in the directory as members of their family, recorded by their parents through the organisation. The app is not directed at children and is not intended to be used by them independently.
Changes to this policy
If the app begins to collect anything not described here, this page will be updated before that change is released, and the date at the top will change.
This policy applies to every member directory app developed and published by Team Novo. Each app also has its own copy naming it individually, linked from the table above.
